As a general rule, Unitas Reizen only collects and processes ordinary personal data. However, in certain cases in connection with booking a trip, it may be necessary for us to process sensitive personal data (e.g. information about special meal requests on your flight or requests for special assistance during your trip) as well as social security numbers (e.g. when collecting a passport copy for use in a visa application) in order to deliver the requested travel services.
Unitas Reizen will typically collect the following data:

Information you provide when booking a trip or creating a travel profile with us, for example online via our website or by contacting our travel consultants. This may include contact details (first name, middle name(s), surname, address, phone number, email address, and possibly job title), date of birth, nationality, place of birth, social security number (for visa applications, etc.), passport number, bank details, information you provide regarding your specific travel preferences (such as dietary requirements, need for special assistance in connection with disability or illness), health information (for medical or sports-related travel), details such as height, weight, clothing and shoe size (for booking equipment on ski trips, sports trips, etc.), the purpose of the trip, languages spoken, citizenship, frequent flyer card numbers, membership of our partners’ associations, emergency contact details, requisition information (for business or medical travel), marketing or communication preferences, and information provided when contacting us with questions, reporting a problem, or otherwise communicating with us in relation to your customer relationship.

Information you provide when entering into a supply or cooperation agreement, including contact details (workplace, job title, first name, middle name(s), surname, address, phone number, and email address), marketing or communication preferences, as well as information you provide when contacting us with questions, reporting a problem, or otherwise communicating with us as part of our cooperation.
3.5 WHAT DO WE USE YOUR PERSONAL DATA FOR?
Unitas Reizen processes your personal data for the purposes set out below. Please note that not all of the listed purposes, categories of data, recipients of data, or types of data processing will apply to you in every case.
Unitas Reizen only processes your personal data to the extent necessary in connection with your customer, supplier, or business partner relationship (taking into account any relevant interests in each case) or as required by applicable law.
3.5.1 CUSTOMER ADMINISTRATION
We process your personal data in connection with the creation and ongoing administration of your customer relationship with Unitas Reizen as part of our business operations. This includes booking trips and delivering other products (such as visa applications, travel insurance, transfer services, etc.). Data is also used for maintaining our customer records, credit assessments, invoicing, debt collection, marketing, internal statistics, etc. All statistics and analyses are prepared in anonymised form and therefore do not contain data that can be traced directly to you as an individual.
3.5.2 SUPPLIER AND PARTNER ADMINISTRATION
We process your personal data in connection with the administration of supplier and/or business partner relationships, where you are a supplier or partner or act as a contact person for a supplier or partner with whom Unitas Reizen cooperates. This includes maintaining our CRM register with contact details of suppliers and business partners.
3.5.3 COMPLIANCE WITH APPLICABLE LAWS AND REGULATIONS
We process your personal data to comply with laws and regulations that Unitas Reizen is subject to in connection with the operation of our business, or to meet various reporting or disclosure obligations under applicable laws and regulations.
Unitas Reizen does not use your personal data to make decisions based solely on automated processing, including profiling.
We strive to ensure that all personal data we process is accurate and up to date. We therefore ask you to notify us of any changes in your personal details (e.g. changes of address or payment information), so we can keep your information correct and current. If you have created a travel profile with us, we ask you to contact us if it needs to be updated or deleted.
3.6 LEGAL BASIS FOR PROCESSING YOUR PERSONAL DATA
We generally process your personal data on one or more of the following legal bases:

- The conclusion or performance of your contract with Unitas Reizen
- Legitimate interests of Unitas Reizen, i.e. the purposes described above

Unitas Reizen discloses personal data only to the extent necessary for the operation of our business, including to deliver your travel arrangements and related products.

IT network systems that consolidate services such as airline tickets, hotel bookings, and car rentals. - 3.7.2 Airlines:
For booking your flights, including passenger details, preferences, assistance needs, and in some cases passport and nationality details. - 3.7.3 Hotels:
For booking accommodations, including personal details, room category, and special requests. - 3.7.4 Car rental companies:
For booking vehicles, including details such as rental period, preferences, and in some cases personal measurements for equipment. - 3.7.5 Bus companies:
For booking bus travel, including names, travel dates, pickup locations, and special requirements. - 3.7.6 Shipping companies:
For booking boat or cruise travel, including names, dates, routes, and special requirements. - 3.7.7 Bedbanks:
For hotel bookings via intermediaries, including names, travel dates, and preferences. - 3.7.8 Travel agents:
For excursions or transfers, including names, dates, and special requirements. - 3.7.9 Insurance companies:
If you purchase travel or cancellation insurance, we will share your details to issue the policy. - 3.7.10 Equipment rental companies:
For renting equipment such as skis or diving gear, including personal measurements. - 3.7.11 Qualified travel offers:
In order to provide preliminary reservations, we share details with GDS, airlines, hotels, etc.
We may also share your personal data with other service providers in connection with business operations, such as IT system administration, analysis, marketing, debt collection, auditing, and legal assistance.
Unitas Reizen seeks to limit the disclosure of personally identifiable information as much as possible. We do not disclose your personal data unless it is necessary to carry out our services or meet your needs.
3.8 INTERNATIONAL TRANSFERS OF YOUR PERSONAL DATA
Due to the nature of our business, your personal data may be transferred to countries outside the EU/EEA in connection with booking a trip. In such cases, we may need to use partners or suppliers located outside the EU/EEA.
Where possible, transfers will be based on the EU Commission’s standard contractual clauses or, in the case of the USA, the Privacy Shield framework (where applicable).
In some cases, however, this may not be practical, and transfers will then be based on Article 49(1)(b) of the GDPR, as the transfer is necessary for the performance of your contract with Unitas Reizen (e.g. your booking) or to take steps at your request before entering into such a contract (e.g. obtaining a qualified offer).
Please note that when your personal data is transferred outside the EU/EEA, it may not be afforded the same level of protection as under EU law.
3.9 DATA INTEGRITY AND SECURITY
Personal data is retained no longer than necessary for the purpose for which it was collected, unless storage is required by national legislation (e.g. bookkeeping).
We protect personal data by implementing appropriate technical and organisational security measures. When personal data is no longer needed, we ensure that it is securely deleted.
